Skill: administrative activities , administration , office maintenance , administration manager , housekeeping , security services , management , administrative functions; Exp: 10-12 years; The Administration Manager is responsible for overall Administrative activities of the company. He/she will be responsible for supervising of administrative and support staff, planning, organizing and implementing systems and best practices. He/she will also ensure to provide 24×7 secure, safe and conducive working atmospheres to all the employees and will ensure zero down time of the facility. Position Duties Procurement Develop and implement all purchasing policies and procedures in conjunction with department leads and department specific requirements. Monitor and analyze trends in company spending and inventory control in order to make recommendations for the future and to identify areas for possible savings. Develop, establish, implement and enforce supplier guidelines, obligations and service level agreements. Analyze trends and market conditions for pricing, availability, lead time for goods & services. Regularly achieving cost saving targets and Managing budgets. Interview, identify and qualify potential new vendors/ suppliers in order to secure more cost effectiveness. Negotiate pricing, warranties, terms and conditions of contracts with contractors/ service providers. Develop and deliver purchasing and inventory reports, bid proposals, requirement document, tender documents. Administration Monitor vendor, service provider performance regularly to ensure quality of service/ delivery within specified timelines Manage various admin functions including transport, facilities management, office maintenance, housekeeping services, security services and office build outs Support and assist Director Operations in strategic functions. To ensure that Systems and Procedures as laid down by management are strictly complied with & to also provide inputs for possible improvements in the service Organize, analyze, interpret and evaluate results and provide practical cost effective solutions Create MIS, reports and implement best industry practices Ensure compliance to statutory norms and requirements required for smooth functioning of services and office at all point of time Create effective BCP Strategy, implement and test them from time to time. Create and implement methodologies for implementation and betterment of services and functions. Create Standard Operating Procedures and Knowledge base for effective delivery of services. Create service delivery timelines (SLAs) for all administrative functions and delivery on time. Invest time and effort in automation of Admin functions and implement state of the art technologies to better services and delivery. Assist in people management practises, rewards/recognition, appraisal & incentive programs Recommend cost effective solutions to address business challenges and / or opportunities. Knowledge of WFM methodology and implementation. Desired Profile 10-12 years of work experience (UG – Any Graduate – Any Specialization) AND (PG – Any PG Course) Extensive experience in handling admin, procurement and operations Exposure to Six Sigma operations and methodology Experience in working with counterparts in US/UK Excellent oral and written communication skills. Possess the ability to motivate and maintain effective working relationships with staff and partners. Excel working in a fast-paced entrepreneurial environment Ability to rely on experience and judgment to plan and accomplish goals. Ability to successfully work to reach company goals in an environment in which a wide degree of creativity and latitude
