Skill: spreadsheets , computer skills , ea , operational support , appointments , executive level , management , executive assistant , administrative support , travel; Exp: 0-3 years; To provide support for top level executives by providing executive level administrative support by providing operational support, receiving clients and visitors, arranging travel and correspondence, and scheduling meetings KEY RESPONSIBILITIES Manage & maintain schedules, including scheduling travel & conferences, making appointments, and making changes to appointments (if required) Prepare meeting agendas, perform research for meetings, & take minutes during meetings Book business travel arrangements, including flights, transportation, & other logistics for Senior Management Manage the diaries & schedules of senior management Provides historical reference by utilizing filing & retrieval systems Manage projects and follow-up with team members where required Maintain a strong working relationship with other relevant departments Liase with clients / business visitors KEY RELATIONSHIPS FOR Management Team of the Function / Business Across the Support Functions (HR, Finance, IT, Property, Mobility, etc) 1. For any business meeting / coordination of travel / conference For any individual / business related queries of the senior management Skills & Requirements Listening and Communication Skills Executive Assistant is be expected to follow instruction from his / her immediate supervisor, and the ability to understand those instructions with little or no follow up will be appreciated. Good listening & communication skills ensure that the information is relayed correctly. People/Interpersonal Skills EA will be working directly with at least one person, but might be the first line of communication between your supervisor and the outside world, potentially speaking with business stake holders, other employees and top management. Organizational Skills The role will have heavy dependency to keep the working day in order. Scheduling meetings, travel plans, billing, etc. will all require the EA to have terrific organizational skills. Computer Skills Writing emails, transcribing notes, faxing, copying, and creating spreadsheets or printing documents figure heavily in an Executive Assistant’s day
