The PMO must be working effectively with those from other teams in and outside of Procurement, requires good understanding in the different roles and responsibilities in order to develop, execute and manage project plans. The role will also involve driving innovation within Procurement Enablement and assist across Procurement. Essential Elements of the role Strategic Project Planning and Goal Setting The PMO plays an integral role during the initial planning stages for any project. It creates structured schedules and project plans based on the project goals, resources needed, potential risks, time to market and budget constraints. By partnering with colleagues in different roles to assess the workloads and impacts for different departments, the PMO is able to identify dependencies and possible issues across teams. During this planning process, the PMO will develop and communicate clear and actionable deliverables, or activities to be completed. Each of these activities should have an identified owner, the person who will carry this out, as well as a clear timeline and success criteria. Project Execution and Governance The project execution and governance aspect of the PMO role is tracking deadlines, deliverables, resources, and timelines throughout the project process. The PMO holds owners accountable for their commitments and will conduct project team meetings to provide status updates and identify and resolve issues. By managing the overall process of carrying out the project, the PMO is able to adapt plans based on evolving needs, conditions or issues that may arise and ensure on-time, high-quality delivery in accordance with the stated project goals. Project Documentation, celebrating and publicizing success stories and Archives Throughout the course of a project, the PMO works with project teams to ensure documentation, supporting materials, and project plans are updated and readily available for internal teams and senior leaders. Upon completion of a project, the PMO compiles and documents project information. Historical information on projects is used not only for reference for future projects but also to assess the project delivery, completeness, and alignment with stated objectives and goals including any lessons learnt. All information should be archived in one place so it is accessible to the appropriate team members and senior leaders. Project Prioritization and Portfolio Alignment At any given time, the PMO may be managing multiple projects for the organization, each with varying priority, timelines and resource requirements. The PMO is responsible for balancing projects and communicating priorities internally. The PMO shall create a project dashboard, which outlines both the projects currently underway and those on the backlog, with their priority according to the overall business objectives. The PMO makes this information readily accessible within the organization, project teams and senior leaders are able to quickly see where attention and resources are currently being placed and adjust their workflows accordingly. The PMO will also manage a weekly call with the Procurement Enablement management team to give brief summaries of all key projects and highlights any concerns, issues or challenges that need input from the team members or further escalation in order for the project to remain on track. Innovation This role will also include the management of Innovation @ EY Procurement to ensure it is working well, people are submitting ideas and their ideas are responded and acted upon. The sharepoint site needs updating to make it more of a project management tool, so this role will need to work with other teams both within Procurement and GDS to update the tool to meet the requirements of today and going forward. The role will also complete due diligence on all ideas that cross Procurement to determine the benefits, which areas within Procurement it impacts and discuss with other Ops/Innovation leads within each category as well as creating an innovation pipeline and managing the review and approval process for each idea. This role with work with the Procurement Enablement leader to build a culture of innovation within Enablement and track/report progress on all projects e.g. newsletter on progress and new ideas/trends in the market. Accountabilities Contributes as an effective team member and takes accountability for deliverables; Creates value to stakeholders independently – Ability to influence and engage with stakeholders – there is complexity in working across our matrix organization, engaging and managing stakeholders, balancing local needs with global consistency, achieving consensus and decisions so the project can progress; bringing excellent project management skills and past experiences – applies the right mindset of the complexity on our projects arises from the global scale, the requirement to integrate across process and technology and move from local to global approaches and standardization; Deploys consulting best practice knowledge and techniques when undertaking work to analyze requirements, support the development of compelling ideas and translate the needs into clear project objectives and outcomes; As a team member, assists in providing smooth delivery of the project/program outcomes and has the ability to operate in a team spread across multiple geographies especially working together in virtual ways Actively contributes to bringing innovation in all forms to the Procurement Enablement team, Procurement and EY be through improving the PMO process, challenging the project teams on scope, any issues they need to think about etc. Skills requirements Strong change and program management skills; Highly organized and self-starter/using own initiative attitude; Good analytical and critical thinking skills; Advanced Sharepoint technical skills to make updates to existing sharepoint sites as well as create new sites as and when required Flexibility to adjust to multiple demands, shifting priorities, ambiguity and rapid change; Proven track record experiencing complex company projects; Previous experience in managing project initiatives; Strong project management skills and tool knowledge; Good listening skills to understand what stakeholders want and therefore needs to be done Ability to build and maintain relationship across different functions and organization levels; Excellent written, oral and presentation communication and stakeholder engagement skills; Experience with PMOs Innovative mindset, wanting to challenge status-quo, challenging stakeholders and ideas to ensure the best solutions are put in place Other Requirements Identify, suggest and improve workable process standards and best practices for process improvement and developing standards. Flexible approach to working on a global scale and across different time zones; Support other roles and responsibilities within the Procurement Enablement function, e.g. support on demand requirements from categories, deputy / ensure vacation coverage for other team members ; From time to time, travel may be required Education Bachelor’s degree (or equivalent area of study) Certification Requirements Change management, project management or process improvement certification would be an advantage e.g. Prince 2; Lean; Six Sigma; CAPM, PMP or certification from an accredited university.
